Title: IT Specialist

Status: Full-Time, Exempt, 40 hours per week

Salary: $24.04 per hour

Supervisor: Vice President for Corporate Compliance and Technology

 

Function: This position is essential in ensuring the efficient operation of IT services, user access, reporting and asset management within the organization.

 

Job Requirements:

  • Associates required, Bachelors preferred in Information Technology or relevant field.
  • Experience: Minimum three (3) years’ experience.

 

Essential Requirements:

  • Deep understanding of computer systems and hardware
  • Technology proficiency in software/applications (Windows, Microsoft Office, etc.)
  • Experienced trainer and training developer
  • Experienced in customer service – Tech Support Helpdesk preferred
  • Inventory Management experience
  • Familiarity with internet security and data privacy principles
  • Knowledge of data management and data security
  • Understanding of basic finance principles

Job Responsibilities:

Onboarding

  • Manage multiple account creations, equipment preparation, and scheduling with HR and hiring managers in collaboration with MSP.
  • Track new hires, internal position moves, terminations, and interns.
  • Ensure paperwork accuracy and completion with HR and hiring managers.
  • Manage IT asset allocation.

Orientation

  • Distribute equipment, set up and test accounts.
  • Develop and conduct IT training, including Security and Usage Manual, PII Protection, Outlook, Teams, SharePoint, OneDrive, OneNote.

Offboarding

  • Manage account terminations and follow-up processes.
  • Oversee equipment collection and reassignment.

Reporting

  • Track all expenses for licensed products, including contract pricing
  • Develop and distribute reports for finance to ensure proper allocations of IT expenses
  • Review invoices to ensure accuracy in contracted pricing, quantities, and alignment with approved project quotes.
  • Ad Hoc reports as requested. (i.e. – call reports)

Asset Management

  • Maintain an up-to-date inventory of IT assets, including hardware and software licenses utilizing Asset Panda software.
  • Conduct periodic onsite inventory assessments.
  • Track contracts and ensure compliance with software licensing agreements and renewals.

Phone System Management

  • Maintain a record of users and extensions within the phone system.
  • Work with MSP and agency staff (where applicable) to develop workflows and efficiencies in the IVR.
  • Coordinate phone system updates, changes, and troubleshooting as needed.

User Management

  • Maintain accurate records of onboarding and offboarding activities.
  • Manage user account access across IT systems to ensure security and compliance.

General Responsibilities

  • Provide ongoing end-user training and support as needed.
  • Assist with coordination and implementation of projects.
  • Participate in organization-wide and appointed committees to support program initiatives and services.
  • Respond proactively to changes in programs and policies, assuming additional responsibilities as needed.
  • Travel periodically to Agency locations in Dutchess, Ulster, and Orange County as required.
  • Additional duties as assigned.
